Privacy Policy

This policy explains how Mindprint FZ-LLC, trading as Particle Signals ("Particle", "we", "us") collects, uses and protects personal data when you visit particleex.com, use the Particle Signals platform (the "Service"), or connect your Google or Microsoft account to it.
1.Who we are

Particle Signals helps recruitment agencies spot business-development opportunities. It monitors public company signals (such as job postings, leadership changes and company news), identifies relevant business contacts, and helps consultants draft and send outreach.
2.Our role
- Controller: we decide how personal data is used for our website, for user accounts, for connected Google and Microsoft accounts, and for the company and business contact data we source to run the Service.
- Processor: when an agency (our "Customer") uploads its own data, such as client lists, target lists, writing samples and templates, we process it on the Customer's instructions under our agreement with them.
3.What we collect
Account information
Name, work email address, company, job title and profile picture, provided by you or by Google or Microsoft when you sign in.
Customer content
Information Customers add to the Service: client and target company lists, sectors, countries and roles they recruit for, average fees, email templates, writing samples, attachments and settings.
Connected accounts
If you choose to connect Gmail or Microsoft Outlook, we access limited email data as described in section 5.
Company and business contact data
Information about companies and the professionals who work at them, obtained from public sources and third-party data providers: company names and websites, job postings, company news, and business contact details such as name, job title, employer, work email, work phone number and professional profile URL.
Activity in the Service
How you use the Service, for example which opportunities you view, contact, skip or mark as called, and the emails you draft, edit, approve or send.
Technical and website data
IP address, browser and device information, log data and cookies (see section 12), and anything you send us through forms or email.
4.How we use data and our legal bases
- To provide the Service: create and secure accounts, find and rank signals, suggest contacts, draft and send outreach you approve, and show replies. Legal basis: performance of our contract.
- To source and process business contact data so Customers can contact relevant professionals about recruitment services. Legal basis: legitimate interests, balanced against the rights of the people concerned, who can object at any time (section 11).
- To support, secure and improve the Service, including fixing faults, preventing misuse and measuring usage. Legal basis: legitimate interests.
- To communicate with you about your account, product updates and, where permitted, marketing. Legal basis: legitimate interests or consent.
- To meet legal obligations. Legal basis: legal obligation.
We comply with the UAE Federal Personal Data Protection Law, the UK GDPR and Data Protection Act 2018, and the EU GDPR, depending on where the people whose data we process are located.
5.Google and Microsoft user data
What we access
- Google Sign-In / Microsoft sign-in: your name, email address and profile picture, used only to create your account and sign you in.
- Gmail or Outlook (only if you choose to connect it): permission to send emails from your account that you have reviewed and approved in the Service, and to read replies and related message details for emails sent through the Service, so we can show you replies and stop follow-ups when someone responds.
How we use it
We use Google and Microsoft user data only to provide and improve the user-facing features described above. We do not use it for advertising, we do not sell it, and we do not transfer it to others except as needed to provide the Service, to comply with law, or as part of a merger or acquisition with notice to you.
Particle Signals' use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
We do not use Google or Microsoft user data to develop, improve or train generalised AI or machine-learning models.
Our staff do not read your emails unless you ask us to (for example for support), it is needed for security purposes such as investigating abuse, or the law requires it.
Storage and control
Access tokens are encrypted and stored securely. You can disconnect your account in the Service at any time, or revoke access at myaccount.google.com/permissions (Google) or your Microsoft account settings. When you disconnect, we stop accessing your mailbox and delete stored tokens and email data within 30 days, unless we must keep it by law.
6.AI processing
We use third-party AI model providers to help rank signals and draft outreach. We only share the information needed for each task, and we use providers whose terms do not allow them to use our data to train their models. Consultants review AI-drafted emails before anything is sent.
8.International transfers
Our team and providers operate in several countries, including the UAE, the UK, the EU, India and the United States. Where we transfer personal data outside the UK, EEA or UAE, we use appropriate safeguards such as Standard Contractual Clauses or the UK International Data Transfer Addendum.
9.How long we keep data
- Account and Customer content: for the life of the Customer agreement, then deleted within 30 days of termination unless the law requires longer.
- Connected email data: until you disconnect, then deleted within 30 days.
- Company and business contact data: while it remains relevant to the Service, reviewed regularly, and removed promptly when someone objects.
- Logs and website data: for as long as needed for security and analytics, normally no longer than 12 months.
10.Security
We use encryption in transit and at rest, access controls, least-privilege access for staff and regular review of our systems. No system is completely secure, but we work to protect your data and will notify affected users and regulators of a breach where required.
11.Your rights
Depending on where you live, you can ask to access, correct, delete, restrict or port your personal data, object to our use of it, or withdraw consent. You can also complain to your data protection regulator, for example the UAE Data Office or the UK Information Commissioner's Office.
If your business contact details appear in our Service and you do not want to be contacted, email privacy@particleex.com and we will remove you and keep a suppression record so you are not added again.
If you are part of a Customer's account, some requests may need to go through that Customer. We will help them respond.
To make a request, email privacy@particleex.com. We will respond within the time required by law, normally one month.
13.Children
The Service is for business use and is not intended for anyone under 18. We do not knowingly collect children's data.
14.Changes to this policy
We may update this policy. We will post the new version here with a new date and, for significant changes, tell users by email or in the Service.
